Spec Assistant Illustrative example

What's the minimum cover for a water main under a street?

Water mains require a minimum cover of 4 ft below finished grade, measured to the top of the pipe. Greater cover applies where the main crosses under arterial streets.

The problem with searching standards

The answer is in the manual. Finding it takes too long, and guessing costs more.

Engineering standards, specifications and compliance manuals run to hundreds of pages, change by edition, and use wording your staff don't. New team members interrupt senior staff, field crews work from memory, and outdated editions stay in circulation.

Generic AI chatbots make it worse: they sound confident, cite nothing, and can't tell this year's standard from last year's. Spec Assistant is built for the opposite: accuracy you can verify.

What makes it enterprise-ready

Accurate, current and accountable.

Three things a technical team needs from AI before it can be trusted with standards.

01

Accuracy

Cited answers

Every answer shows exactly where it came from.

Grounded in your documents, not the open internet.

For each question, Spec Assistant retrieves the most relevant pages from your active manuals and answers only from them. Each answer lists its sources with the manual, section, printed page and a verbatim excerpt, linked straight to that page of the PDF.

If the manuals don't cover it, it says so, and tells the user who to contact.

Core capabilities

  • Manual, section and page cited for every answer
  • Verbatim excerpt and one-click link to the source page
  • Understands follow-up questions in context
  • Reference library maps staff terms to your standards' wording
  • Clear "not found" response that routes to your team
02

Currency

Version-controlled manuals

Only the edition in force is ever searched.

Stage the new edition early. Switch over on the effective date.

Administrators upload manuals through a simple admin screen. A new edition can be staged and reviewed ahead of time, then activated on cutover, which retires the previous edition automatically.

  1. StagedUploaded and reviewable
  2. ActiveSearched and cited
  3. SupersededKept for the record

Core capabilities

  • One active edition per manual, enforced automatically
  • New editions staged ahead and activated on cutover
  • Superseded and retired editions kept for audit
  • Private document storage with controlled links
  • Sample questions and disclaimer set per assistant
03

Accountability

Review and governance

Subject-matter experts stay in control.

See what was asked, what was answered and how users rated it.

Every question is logged with its answer, citations and the pages searched. Users rate answers with a thumbs up or down, and flagged answers land in a review queue where your experts can see exactly how the answer was found.

Spot gaps in your manuals from the questions people actually ask.

Core capabilities

  • Full question-and-answer log with citations
  • User feedback and an expert review queue
  • Retrieval path shown for every reviewed answer
  • Usage statistics for the last 30 days
  • Multi-tenant isolation and role-based administration

How it works

Upload. Ask. Verify.

  1. 1Upload

Administrators upload your PDF manuals and set which edition is active. Pages are indexed for search automatically.

  2. 2Ask

Staff ask in plain language, on your website, intranet or portal. The assistant finds the relevant pages and answers from them alone.

  3. 3Verify

Each answer shows its sources. One click opens the exact page, so the answer can be checked before it is used.

Frequently asked questions

What technical teams ask first.

Does it make up answers?

It answers only from the pages of your approved manuals that it retrieves for each question, and every answer carries citations you can open. If the manuals do not cover a question, it says so and points the user to the contact you choose, such as your engineering inbox.

How are new editions of a manual handled?

Each manual is version-controlled. You can upload a new edition ahead of its effective date, keep it staged, and activate it on cutover. Activating it retires the previous edition, and only active editions are ever searched or linked.

Our manuals use different words than our staff do. Will it still find the answer?

Yes. The assistant rewrites each question into search terms before it looks, and a reference library lets your administrators map everyday terms to the wording in your standards, for example "bury depth" to "minimum cover".

Can it read scanned drawings and image-only pages?

Text-based PDFs work out of the box. Scanned or image-only pages need text recognition (OCR), which we scope with you during onboarding.

Where is it hosted, and who can see our documents?

Choose a dedicated, white-labeled instance hosted by Topcone, or deployment in your own cloud environment. Manuals are stored privately, are never publicly addressable, and are served to users only through controlled links to active editions.

Can it connect to our other systems?

Yes. Integrations with your document management, ERP or line-of-business systems are scoped and built per engagement by the team that builds ERP systems for mid-size companies.
